ISSUES
Where does the time go?
Chasing clients for documents, and digging attachments out of email
Working out which documents each status and nationality needs
Keeping residence-card deadlines in a spreadsheet
Explaining it all again to clients who don’t read Japanese
Ninka is software for taking that repeated work off your hands.
FEATURES
What Ninka does
01
Documents arrive through the client portal
Open a case and Ninka emails your client their own portal. They upload from a list of exactly what their case needs, and each document lands on the case as it arrives — on a screen in their own language.
02
Document lists from the status and nationality
23 statuses of residence and the US E-1 and E-2 treaty visas. Each case gets its own checklist, including the extra documents some nationalities are asked for.
03
Reason statements and forms start as drafts
Drafted from what the case already holds. You review, rewrite and make the final call — the draft only saves the typing.
Passports and residence cards read themselves
Upload one and the name, nationality, passport number and expiry go into the case.
Expiry alerts
A notice as each deadline approaches, and a weekly digest of what needs attention.
One thread per case
Messages with the client stay on the case, not in someone’s inbox.
Admins and associates
Admins invite colleagues and set what they can do. Reports show the whole firm at once.
COMPANY FORMATION
Forming a 合同会社 or 株式会社 for foreign founders, too.
For founders heading for a Business Manager visa, or forming a company to hold property. Your client enters the company and its members or promoters through the portal, and Ninka drafts the articles and powers of attorney from it. A 株式会社 is formed by its promoters (発起設立), without a board.
- Company and people confirmedYour client enters the name, head office, purposes, capital, and the role of each member, promoter or director.
- Articles drafted and signedOn the Legal Affairs Bureau’s model. A 合同会社’s articles need no notary.
- Articles certified (株式会社 only)At a notary’s office. The powers of attorney cover the certification too.
- Capital paid inAfter the articles are dated. A 合同会社 can prove it with a receipt for each contribution, with no Japanese account; a 株式会社 pays into a bank account, which can be a Japanese bank’s branch abroad.
- RegistrationFiled by a 司法書士 or the representative. Ninka records the progress.
- Foreign investment report (外為法)Within 45 days of registration when non-residents hold 10% or more. Ninka works out the date.
- Company bank accountOptional — some owners abroad use a third party instead.
- Tax office notifiedWithin two months of formation.
DIRECTORY
Requests from people who started on their own.
Applicants who start on Ninka can find a verified firm in the directory and send a request. Accept it and the case comes across exactly as it is, documents and all.
- Requests arrive with the case already filled in
- Accept or decline each one
GETTING STARTED
Getting started
- STEP 1Register the firm
Name, office address and a contact email. You become its first admin.
- STEP 2Open a case
A name, an email and the status are enough. Ninka sends the client their portal.
- STEP 3Your client uploads
Passport first. What it reads goes into the case, and the rest of the list follows.
- STEP 4Review and file
Finish the reason statement and form from the drafts, check them, and file.
SECURITY
Passports and personal records, handled with care.
Only the firm on the case and the client themselves can open it. Access is enforced in the database, not just on screen.
Ninka is software that supports a scrivener’s work. It does not take on document preparation or file applications itself.
